Understanding Transaction Dates in ClientLine Reporting and Data File Manager for Payeezy Gateway Transactions

ClientLine Reporting and Data File Manager

In addition to reporting found within Payeezy Gateway, reporting can also be pulled from ClientLine Reporting and Data File Manager.

ClientLine Reporting is a free online portal that shows all transactions a merchant has processed, regardless of if processed through Payeezy Gateway or another Point of Sale method. You may self-register for this service by clicking Here. Or you may contact your Sales Representative, Relationship Manager, or Account Manager for setup and more information.

Data File Manager uses Secure FSP to transport large files in text format. These files are generally imported into a merchant’s enterprise accounting system. Please contact your Sales Representative, Relationship Manager, or Account Manager for more information on using Data File Manager.

 

Key Date Fields Used Within ClientLine Reporting

The follow are fields you will see within the ClientLine Reporting portal as well as within reporting you pull from ClientLine Reporting.

  • Authorization Date: Date the transaction was submitted for authorization approval
  • Submit Date: Date the batch was submitted to Compass
  • Batch Date: Date that Compass processed the batch
  • Transaction Date: Date the transaction occurred

 

Key Date Fields Used Within Data File Manager

The follow are fields you will see within the Data File Manager file.

  • Authorization Date: Date the transaction was submitted for authorization approval
  • Funded Date/Batch Submit Date: This field will represent Funded Date by default, unless you select to receive records by Batch Submit Date, then this field will display that Batch Submit Date. The Batch Submit Date is date the batch was submitted to Compass
  • Batch Date: Date that Compass processed the batch
  • Transaction Date: Date the transaction occurred

 

Cut-Off Times in Relation to ClientLine Reporting and Data File Manager

Payeezy Gateway uses the Compass front-end platform to authorize transactions. The Compass platform currently has an end of day cut time of 10:00 pm EST. This means that transactions batched between 10:00 pm and Midnight will have a transaction date, batch date and submit date of the next day in ClientLine Reporting and Data File Manager.

For example:

  • If you batch at 6:00 pm EST on 5/1/16, the transaction date, batch date and submit date in ClientLine Reporting and Data File Manager will show 5/1/16.
  • If you batch at 10:30 pm EST on 5/1/16, the transaction date, batch date and submit date in ClientLine Reporting and Data File Manager will show 5/2/16. Because of this, the report you pull for 5/1 will not have the transactions from this batch on it. You will need to pull a report for 5/2/16 to see the transactions.

 

The screenshot below shows an example of the ClientLine Reporting Transaction listing Detail Report for transactions that authorized 5/17/16 and were batched at 9:30 pm EST. Since these transactions batched before 10:30 pm EST, you will see that the submit date and the transaction date are 5/17/16.

 

Advice for Reporting Consistency

If it is important to have all dates show in ClientLine Reporting or Data File Manager as the actual date submitted, you should set the Payeezy Gateway Settlement Cut-off Time prior to 10:00 pm EST. Click Here to view how to update the Payeezy Gateway Settlement Cut-off Time.
